    About the Role

    The Travel & Events Intern will play a critical support role within the administration team, specifically assisting the Travel Coordinator in managing the end-to-end logistics of business travel and events. This is not a typical internship — it demands a candidate with high levels of responsiveness, meticulous attention to detail, and absolute trustworthiness.     Duties and Responsibilities

    The selected intern will work closely with the Travel Coordinator and other internal stakeholders. Key responsibilities will include:

    • Travel Arrangements Support: Assist in the booking of both domestic and international travel, including flights, accommodations, visa applications, ground transportation, and any other relevant logistics. Ensure that all bookings align with company policies and staff preferences where possible.
    • Event Logistics Coordination: Support the planning and execution of various events, from staff retreats to partner workshops. This includes organizing venues, catering services, and transport logistics for event attendees.
    • Documentation & Scheduling: Prepare, update, and distribute travel itineraries, schedules, and related travel documents to all involved parties. Ensure all details are accurate and up-to-date.
    • Query Management: Serve as a point of contact for travel-related queries from staff, addressing concerns promptly and ensuring proper follow-up until resolution.
    • Record Keeping: Maintain orderly and secure records of all travel and event bookings, including receipts, payment confirmations, and reimbursement documents. Ensure accurate filing for audit purposes.
    • Stakeholder Liaison: Interface with travel agents, airlines, hotel vendors, and internal departments to streamline the booking process and resolve any logistical challenges.
    • Reporting: Contribute to the generation of weekly and monthly reports summarizing travel activities, costs, and process improvements.

    Skills and Experience Required

    The ideal candidate will bring a combination of formal training and practical skills that make them effective in this fast-paced and critical role. Specific requirements include:

    • A diploma in Tourism and Travel Management, or a closely related field.
    • Strong written and verbal communication skills to manage both internal and external correspondence effectively.
    • Excellent computer proficiency, particularly in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint). Familiarity with travel or booking platforms is an added advantage.
    • Demonstrated ability to handle multiple tasks simultaneously while maintaining accuracy and meeting deadlines.
    • High levels of integrity and trustworthiness, as the role involves access to sensitive travel and personal data.
    • Ability to work independently, take initiative, and require minimal supervision.
